How to make the most of Google Calendar on your phone

Google Calendar does far more than remind users of tasks to complete or manage their timetables. After years of renovation, this Google schedule management service has become an assistant, a productivity tracker or even a life coach, depending on how you take advantage of it. Here are six tips for you to make the most of Google Calendar, no matter whether you have the most complex schedules ever or work on an arbitrary basis. These tips help you avoid being overwhelmed with notifications, boost your individual/ team productivity, save time and prioritize important tasks.


SET SMART & DETAILED EVENT NOTIFICATIONS


A helpful notification provides task details, pops up at the right time, and allows you to check it at your convenience.


A notification should appear to urge you to prepare for the coming appointment, so do not get yourself a pop-up 72 hours or 5 minutes before the event, and be mindful of how much time the preparation will take you. Tap Add notification, then Custom to decide when and how you receive that pop-up (as a device notification or as an email). Make sure that the notification does not disrupt your workflow by then.

Allow yourself to receive as many notifications as you want based on the importance of the appointment. However, avoid messing up your timetable by setting up too many notifications for a single event, and tap “Add location” (right above “Add notification”) if you want to have a reminder of where you should go. SHARE YOUR SCHEDULE WITH OTHERS & SAVE YOUR TEAM’S CHAT TIME “Add People” to your event and get access to their calendar if they share it with you, from which your team can determine a meeting time that fits the individual timelines. This feature helps you arrange conferences promptly without wasting time on chats or poles. You can also share your schedule with specific people (friends, family members or colleagues), which gives you an edge in managing a small group or suggesting meal/ meeting time. Synchronizing your Gmail with your Google Calendar and enabling email notifications would allow you access to any changes made to an event created by others. 

ADD GOALS & DEVELOP YOURSELF

Google Calendar has improved itself to become a life coach just by asking you to follow a predetermined route to a particular achievement. Tap on “Goal”, and you will see Exercise, Build a Skill, Family & Friends, Me Time and Organize My Life show up. Select an activity, its frequency, duration, and time of occurrence in line with your needs, and Google Calendar will automatically choose a suitable time on a weekly basis according to your schedule. If you are dissatisfied with the arrangement, you can adjust the time at your disposal.


NEVER FORGET YOUR LOVED ONES’ BIRTHDAYS AND NATIONAL HOLIDAYS AGAIN


On Google Calendar’s Menu Settings, scroll down to the bottom and see the “More” tab comprising Birthdays and Holidays. You can synchronize birthdays from your Google Contacts and add national holidays in your local country or others to your personal calendar. This function helps you keep track of international events and is beneficial if you have foreign friends.

With regard to foreign friends, Google Calendar also allows you to add a different timezone for cross-country conversations or meetings. Go to Settings from the app’s top left, tap General, uncheck Use device time zone, and choose another one yourself.
